2 Technical Assistants are required working within the Client Organisation responsible for the New High-Speed Rail project in the UK this is a multi-billion-pound high-speed railway to directly link the city centres of: London, Birmingham, Leeds and Manchester. The Technical Assistant/Administrator sits within the Site Based Technical Engineering teams who are Technical Service/Construction Engineering for Two locations – Coleshill (N1 and N2) & Milton Keynes (C1 & C2).
Each Team is made from 20 – 25 engineering and environmental professionals who carry out risk based technical assurance within the Integrated Project Teams. The team provides support and advises construction client teams on all technical matters and promote challenge, opportunities and innovation where appropriate.
Job overview
The purpose of the Technical Assistant / Administrator is to provide technical advice and support to the Engineering and Environmental managers within the area and their teams, including coordinating team meetings and direction on the use of MS Teams, Sharepoint, and eB. The role reports to a Senior Project Engineer and also Head of Engineering & Environmental.
The role will provide the technical administration required for the Engineering & Environmental Team who will need to navigate c75,000 documents to provide the team with the 5% of documents they require, ensure that the tasks are completed on the necessary documents – variation plan, contracts, RFI (request for information). Essentially, they are ensuring the input of information before the documents, contract etc are sent to documents control team and report on progress.

Work Situation – Hybrid
The office location is Coleshill or Milton Keynes and they operate a flexible hybrid working model with the expectation to work 2 days a week from the office. Overall, this is a very flexible modern employer who cares about delivery not where you deliver from, however, if you wish to be based front the office more you can.
Salary £33,000 – 36,340 + Pen(6:12) + Health + 25 days HolDuties & Responsibilities
- Act as first point of contact for senior manager, departments / team and other stakeholders on Technical, Contractual and administrative services and processes, redirecting and responding as appropriate, and ensuring all tasks are completed to a high standard.
- Manage RFI and Departure responses to ensure they are produced in a timely manner through liaison with SMEs and the local Eng & Env team
- Assess draft RFU responses to ensure they address the questions raised by the contractor prior to seeking HOEE/Deputy HOEE approval
- Assist SPEs with responses to CEMAR communications by drafting them where possible and seeking approval / input from SMEs as appropriate.
- Coordinate and manage departmental team meetings to ensure effecting running of meetings and the successful delivery of outcomes, including collating agenda’s and responses, taking meeting minutes and notes if required, and managing required actions
- Prepare and format briefing packs, presentations and other documentation for HOEE, Deputy HOEE and departmental teams as required.
- Develop reporting systems and develop / update and maintain Team, Departmental and Directorate records, databases and systems to ensure effective functioning of the Directorate and collective team.
- Develop and maintain information system in MS Teams and Sharepoint to enable team to file documentation effectively to ensure ease of access across the team, and the wider IPT where appropriate
- Manage all eB MWCC RFIs for the team, liaise with SMEs and as required draft responses and coordinate required actions to ensure an adequate response to the contractor within the contractual time period
- Provide ad hoc administrative leadership including liaison with Document Control teams within HS2, TfL, NR and others to resolve inter-company information sharing issues
- Maintain continuous administrative support for HOEE and team and identify enhancements to continually improve the functioning of the collective team
- Actively promote and embed Equality Diversity and Inclusion (EDI) in all your work, and support and comply with all organisational initiatives, policies and procedures on EDI
Candidate Criteria
Open to someone from a range of backgrounds, could be a Senior Administrator at a Construction / Engineering company, someone who has worked within Document Control or as an Engineering Technician, Project Coordinator, Assistant within Project Management office or design team and very much open to someone from an Engineering background looking for an entry level role. The person must have good communication skills, and be organised with superb time management and have good IT system skills – Microsoft office. If they have experience with any of the following will be a distinct advantage Enterprise Bridge (Eb), Share Point, Cemar although not essential.

Knowledge:

- Understanding of Organisational structures
Type of Experience:
- Database experience – ideally Assetwise/Enterprise Bridge, Cemar (although not essential)

Preferred Engineering related post A level qualification (to provide a sufficiently detailed understanding of the engineering issues involved), or A levels with the right aptitude.
